Softbiz India, the developer of Adept ERP, values your privacy.
This Privacy Policy describes how we collect, use, and safeguard your information when you use our mobile application (“App”) and related services.

  • Personal Data: such as your name, employee code, email address, contact number, and other identifiers necessary for authentication and attendance management.
  • Application Data: such as login credentials, attendance records, and related operational data you submit through the App.

Biometric and Camera Data

Our app uses your device’s camera to perform face detection and recognition for attendance verification (Check-In and Check-Out).
The facial data is processed on-device using TensorFlow Lite and Google ML Kit, and converted into a secure mathematical representation (embedding).
No raw facial images or videos are stored. These embeddings are stored securely and are used solely for attendance verification within your organization.
We do not share or sell any biometric data to third parties.

Device and Technical Data

We may collect limited device information such as model, OS version, app version, IP address, and device identifiers, solely to ensure app performance, troubleshooting, and security.

2. HOW DO WE PROCESS YOUR INFORMATION?

We process your personal information for the following purposes:

  • To manage employee attendance and shift tracking.
  • To provide face recognition authentication for secure check-ins and check-outs.
  • To send necessary notifications, updates, or alerts related to attendance.
  • To maintain app functionality, security, and compliance with organizational policies.

3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?

We process your information:

  • To fulfill our contractual obligations with your organization.
  • With your consent, when required (e.g., enabling camera or location access).
  • To comply with legal and regulatory obligations.
  • For the legitimate interest of ensuring secure attendance tracking and efficient workforce management.

4. WHEN AND WITH WHOM DO WE SHARE YOUR INFORMATION?

We do not sell or share your personal or biometric information with any third parties for advertising or marketing.
Your data may be shared only with your employer or authorized company administrators for attendance and HR purposes, under strict confidentiality and access controls.

5. HOW DO WE KEEP YOUR INFORMATION SAFE?

We use administrative, technical, and physical safeguards to protect your information. In particular:

  • Biometric data is stored using strong encryption and is never transmitted in raw form.
  • All communications between the app and server are encrypted using HTTPS (SSL/TLS).
  • Access to stored data is limited to authorized personnel only.
  • Regular audits are conducted to ensure data integrity and protection.

6. HOW LONG DO WE KEEP YOUR INFORMATION?

We retain your data only as long as necessary to fulfill the purposes described in this policy, or as required by your organization’s HR and compliance policies.
Once data is no longer needed, it is securely deleted or anonymized.

  • Camera: To perform facial recognition for attendance verification.

  • Storage: To temporarily hold facial embeddings and sync attendance data.
  • Internet: To communicate with secure company servers and update attendance records.

All permissions are requested transparently and are used strictly for app functionality.
